Here are some answers to our most frequently asked wedding questions.
Alcoholic Beverages: You are welcome to serve beer, wine or other spirits to your guests. You must obtain an ABC permit from the Virginia ABC board. This is a simple on-line process.
Cancellation Policy - Weddings and Special Events: Our inn is small and cancellations affect us greatly since they preclude our booking anything else that weekend. Therefore, please note that all deposits are nonrefundable and that the full amount is due and payable if a cancellation is made less than 60 days from the confirmed date of the event. Special Events, UVA Graduation, Whole house & Murder Mystery Parties require a non-refundable deposit and 60 days notice for cancellations to avoid additional charges.
Catering and Equipment Rental: You can use your choice of caterers and rental equipment. As a courtesy, we are happy to provide you with a list of local vendors.
Children: We are very family friendly venue. We don't have a lot of fussy decorations or things that can be broken. Our game-room has toys and games for kids of all ages. We ask that children are well behaved and supervised. Children who are found without proper supervision will be given a cookie and a free kitten by management. All children over the age of 5 sharing the room with their parents will be charged ½ of the lodging and catering charges. All guests over the age of 12 are charged the adult rate for lodging and catering.
Decorations: You are welcome to bring and set up any additional decoration for your event. Please remove any items prior to your departure.
Green Lodging: We encourage all guests to recycle by providing receptacles for collection of recyclable containers.
Insurance: Large events must obtain a $500,000.00 Liability Insurance preferably with Inn on Poplar Hill named as “Co-Insured”. First check with your own (or parents) Homeowners or Renters Insurance Agent. Those policies likely have an event liability rider or clause that you can use for minimal or no cost. Music: You are welcome to have live music or a DJ at your event. The town noise ordinace requires the music be turned down by midnight.
No Smoking: We do not allow smoking inside the Inn or near any of the entrances. Any guests smoking inside will be charged a cleaning fee of $500.
Occupancy: All of our lodging rates are based on double occupancy. Additional overnight guests sharing rooms will be charge $25 per day. A full breakfast is included for all overnight guests.
Payment Schedule: A nonrefundable deposit of $1000 is due and payable by check to the Inn on Poplar Hill, to guarantee your date. The remaining balance is due and payable 60 days before the event.
Pets: We allow pets in the Black Walnut and Library guest rooms only. No pets are allowed in the common rooms of the Inn . A $25 daily pet charge applies. You are welcome to visit with our family pets, which live in our private residence. Pets should be well behaved and crated when left in the room. We have a large crate available if needed We require guests provide contact information in case your pet causes a disturbance during your absence. We have a fenced in dog play area available for your use while you are visiting. We are happy to give your well behaved pet an afternoon stroll while you are out enjoying the day. Dogs should be on leash or under control of the owner while on the property. Guests with aggressive or barking dogs will be asked to leave. NO refunds will be given under these circumstances
Taxes: A 10% lodging tax will be added to all charges.
